Review of discussion from annual:

Need and Scope:

  • Observation is that systems and processes for this line of business are antiquated
  • Some base standards of identification and message exchange do exist
    • NACS - National Association of Convenience Stores - product codes
    • X12 EDI 200-series messages for data exchange in distribution
    • Likely other codes and messages in use for regulatory touch points
  • Products:
    • Refined fuels - many different vendors but "commodity" level product set
    • Oil & Lube - seed-scale SKU set
    • Identification at the packaged product level only with lots of proprietary codes embedded in current barcoding
    • Randy advertised for the Crop Protection Identification session on Wednesday morning.
  • Messages:
    • Invoicing
    • meter readings and tank locations
    • loads and receiving
    • tank maintenance
    • Quantity of transactions - more than seed, consistency throughout the year
  • Can we make this easier, faster and more efficient?
    • Consensus is YES
    • Reviewed plan for cancelled face to face meeting
      • Agree that starting with pain point documentation is the right place to begin
      • Observed that some level of trust building will be needed and valuable for success
      • Timing - need to have energy specialists available. Early in the year is not a problem
    • Small group to reconvene  at 10 am EST/9 am CST to develop virtual meeting plan and cadence

Next Steps:

  • Impact meeting that we attempted to co-time with has been moved to September 2021, so that's not a conflicting factor
  • Timing:
    • 1 1/2 or 2 hour meeting - focused on the why and pain points
    • Follow up the following week
    • 1 1/2 hour is a good timeframe to begin with
  • Agenda:
    • First meeting focus on who we are, why we're together
    • Next focus on pain points and then prioritization
      • Pain point list can be shared in the interim and then prioritization takes place on a second call
      • Could get corporate input in the second session as well
    • Second session to focus on currently implemented messages, tools, standards, identifiers, etc. Focus on ship notice, invoice? Demo?
    • Second meeting deliverable is agreement on work to be done - might slide to a third meeting if we have good discussion
  • Attendees:
    • Karla Schilling to be added to mailing list
    • Ask retailers to generate contact list over and above "usual suspects"
      • Communication to solicit member input - forwarding or connecting with Member Services
  • Dates:
    • Jan 19 - Ag Retail call scheduled at 1:30 pm CST
    • Propose Jan 21 or 26 for the call; prefer morning (10 EST)/second meeting Jan 28 same time
  • ACTIONS:
    • Brent to schedule w/Member Services
    • Brent & Member Services draft communication to share by
    • Launch email announcement by
